LivionKey Register: How to manage Key categories

Key categories let you organize your keys into labeled groups. Instead of scrolling through a long, unfiltered list, you can assign categories to keys and then filter by category to quickly find what you need.

What are categories?

A category has two parts:

  • ID — a short, unique identifier you define (e.g., SK)

  • Name — a human-readable label (e.g., Service keys)

Categories are created at the organization level and are available to all sub-organizations.


Managing categories

Categories are managed in Organization Settings → Keys tab.

  • Add a category — click the Add button, fill in the ID and Name, and save.

  • Edit a category — click the pencil icon on a category row. Changes are automatically applied to all keys using that category.

  • Delete a category — click the trash icon. If the category is assigned to any keys, you will see a warning showing how many keys are affected. Confirm to delete. The category is removed from all affected keys.

Category IDs must be unique within your organization.


Assigning categories to keys

Open the key creation or edit form. Use the Categories field to select one or more categories. A key can belong to multiple categories, and categories are optional — keys without categories work as before.

Assigned categories are visible as tags on the key detail view.


Bulk assigning categories

To assign a category to multiple keys at once:

  1. Select the keys you want to update from the keys list.

  2. Choose the Add categories to X keys bulk action.

  3. Select the categories to add.

  4. Save.

Existing category assignments on those keys are kept — only new ones are added.


Filtering keys by category

In the keys list, use the category filter to show only keys belonging to a specific category. Clear the filter to return to the full list.


Importing keys with categories

When importing keys via file, use the Categories column in the import template. Enter one or more category IDs separated by commas. If a category ID is not recognized, the affected key will fail to import with an error indicating which ID was not found. Keys without a value in the Categories column are imported without categories.
