Adapting to Changing Needs
LivionKey Register now allows you to easily change the return location for a key contract, even after the key has been handed over. This provides increased flexibility for both you and your customers, allowing you to switch between manual storage (e.g., your office) and a Key Automat as the designated return point.
Reasons to Change Return Location
Customer Convenience: Accommodate customers who may not be able to return keys to the original location due to unforeseen circumstances or changes in plans.
Operational Efficiency: Optimize key returns by directing them to the most convenient location, whether it's an office or a nearby Key Automat.
Process Improvement: Adapt to evolving needs and streamline your key management processes by easily adjusting return locations.
How to Change Return Location
Locate the Contract: Navigate to the "Receive Key" view in LivionKey Register and access the contract you want to modify.
Choose New Location: You will be forwarded to the "Receive Contract" view where you can choose the new return location:
Immediate Manual Storage: Select this option to mark the keys as returned immediately. The system will guide you through the return process.
Scheduled Manual Storage: Select this option to schedule the key return for a later date. You'll need to provide clear return location details (e.g., office address, specific desk) and specify the expected return date. The customer will receive a notification with the updated information.
Key Automat: Choose this option to have the customer return the key to a Key Automat. You'll need to select the desired Key Automat and specify the return date. The customer will receive a PIN code and instructions for returning the key.
Enable Notifications (Recommended): Ensure that email and/or SMS notifications are enabled for the contract. This will automatically send updated return instructions to the customer.
Complete the return location change:
Confirm the change by submitting the form.
The system will update the contract with the new return location and your customer informed accordingly.
