Planning Key Returns

LivionKey Register now allows you to plan key returns to manual storage locations (e.g., your office) even if the key is not currently linked to an active contract. This is particularly useful for managing keys that have been out for an extended period.

How to Schedule a Key Return to Manual Storage

  • Find the Key(s): Navigate to the "Keys" list in LivionKey Register and locate the key(s) you want to be returned.

  • Create Return Contract: Right-click on the desired key(s) and select the "Create return contract" option.

  • Set Return Date: Specify the expected date for the key return. You can choose a date in the future to allow the customer time to return the key.

  • Provide Return Location Details: Enter clear instructions on where the customer should return the keys (e.g., office address, specific desk or counter).

  • Enable Notifications (Recommended): Ensure that Email and/or SMS notifications are enabled for the contract. This will automatically send return instructions to the customer, including the return location and the expected return date.

  • Receive the Key:

    • Once the customer wants returns the key to the office, you can find the contract via the "Receive key" view.

    • Select the key, verify that the storage description is correct, and mark the key as "received."

    • The customer will receive a receipt confirming the key return operation.

Tip: You can customize the "return manual contract" notification template to provide specific instructions or information relevant to your organization or the return location.

Requesting a Return Signature

You also have the option to request a signature from the customer when they return the key to the office. This adds an extra layer of accountability and provides a formal record of the key return.
