Contract signing and Signature Stations

Collect contract signatures locally, by public link, or on a paired office Signature Station Display.

Use contract signing when a customer must sign a contract before a key handover, key return, or another contract operation can be completed.

LivionKey Register supports three signing methods:

  • Sign locally on the staff device

  • Send a signature link to the customer

  • Send the contract to a Signature Station

A Signature Station is a paired customer-facing display, usually a tablet or kiosk in an office. Staff select the contract in KeyRegister and send it to the station. The customer reviews and signs on the station display.

Before you start

For any signing method:

  • The contract must use Signature verification.

  • The contract must still be waiting for a signature.

  • The user must have access to the contract and the related organization unit.

  • The contract must not already be signed.

For Signature Station signing:

  • A Signature Station must exist for the correct organization unit.

  • The Signature Station Display must be paired.

  • The display must be online.

  • The station must not already have another signing process in progress.

For best results, use the station display in landscape orientation.

Recommended Signature Station setup

We recommend using a modern 10- to 11-inch tablet as the Signature Station Display. For example, a Samsung Galaxy Tab A9+ 11-inch provides customers with enough screen space to review contract details, agreement documents, and the signature area.

For desk or reception use, mount the tablet in a stable, lockable tabletop stand that supports:

  • landscape orientation

  • secure counter or desk use

  • clean charging cable routing

  • an enclosure or adapter that fits the selected tablet

A professional kiosk stand, such as a Bouncepad Counter model configured for the selected tablet, is a suitable option.

Sign locally on the staff device

Use this method when the customer is present and can briefly use the same device as the staff member.

  1. Open the contract that is waiting for signature.

  2. Select Add signature.

  3. Select Sign locally.

  4. Let the customer review the contract and agreement documents.

  5. Let the customer draw their signature and confirm.

  6. After the signature is saved, continue the normal contract workflow.

This is the fastest in-person option when no separate customer device is needed. Staff should not leave the customer alone with access to unrelated staff screens.

Send a signature link

Use this method when the customer should sign from their own device.

  1. Open the contract that is waiting for signature.

  2. Select Send signature link.

  3. Confirm the recipient details.

  4. Send the signing request.

  5. The customer opens the link, reviews the contract, signs, and submits.

  6. Refresh or reopen the contract if the status does not update immediately.

The signature link is specific to the contract. Treat it as sensitive and send it only to the intended signer.

Create and pair a Signature Station

Users need the required Signature Station permission to manage stations.

  1. Open the Signature Stations administration area.

  2. Select Create Signature Station.

  3. Enter a clear name, such as the reception desk, office, or tablet name.

  4. Select the organization unit.

  5. Optionally select the default display language.

  6. Create the station.

  7. Open the display URL on the station tablet or kiosk.

  8. Enter the 6-digit pairing code shown in KeyRegister.

Pairing codes are short-lived and expire after 5 minutes. If the code expires, generate a new code from the station details view and enter the new code on the display.

After pairing succeeds, the station status changes from needs pairing to active. When the display is connected, it appears online and waits for a contract assignment.

Send a contract to a Signature Station

Use this method when the customer is present and a paired station display is available.

  1. Open the contract that is waiting for signature.

  2. Select Add signature.

  3. Select Send to station.

  4. Select an online available station.

  5. Confirm the assignment.

  6. Ask the customer to use the Signature Station Display.

  7. The customer reviews the contract and agreement documents, signs, and submits.

  8. Follow the progress in the station signing progress view.

  9. After completion, the contract updates as signed and the station returns to idle.

If there is only one paired, online, and free station, KeyRegister may assign the contract automatically without showing a station picker.

Only one signing process can be active on a station at a time. If the station is busy, wait for the current signing process to finish or cancel it before assigning another contract.

Cancel a station signing

Cancel the station signing process if the wrong contract or station was selected, or if the customer should not continue signing on that station.

After cancellation:

  • The station display returns to idle

  • The customer can no longer sign the canceled assignment at that station

  • Staff can start a new signing process if the contract still needs a signature

Re-pair, unpair, or delete a station

Use these actions when the display device is replaced, lost, no longer trusted, or should be moved to another setup.

  • Re-pair or generate a new pairing code when a station needs to be paired again.

  • Unpair removes the current display credential so the existing paired display can no longer act as that station.

  • Delete permanently removes the Signature Station record and stops the existing pairing from working.

The display can also self-unpair only when it cannot reach the real-time service. This prevents customers from disconnecting a healthy working station during normal office use.

What the customer sees

For local signing, the customer reviews and signs on the staff device.

For signature links, the customer opens the link in a browser, reviews the contract, signs, and submits.

For Signature Station signing, the assigned contract appears automatically on the paired display. The customer does not enter a contract number, station name, or signing link.

Troubleshooting

The contract does not show signing options

Check that:

  • The contract uses Signature verification

  • The contract is still waiting for a signature

  • The contract has not been signed yet

  • The user has permission to access the contract

The signature link was not received

Check that:

  • The customer's email address or phone number is correct

  • Notifications are enabled and working for the organization

  • The signing request was sent successfully

  • The customer checked spam or message filtering

If needed, send the signature link again.

No Signature Stations are available

Check that:

  • A station has been created for the correct organization unit

  • The user has access to that organization unit

  • The display has been paired

  • The display is online

  • The station is not already busy

The station did not receive the contract

Check that:

  • The correct station was selected

  • The station display is online

  • The station is not busy

  • The display has not been unpaired or deleted

Try canceling the signing process and resending the contract.

The display shows a no connection screen

Check whether:

  • The tablet or kiosk has internet access

  • The service is reachable from the office network

  • The browser still has the paired station profile

If the display cannot reconnect and the pairing should be reset, unpair the station and pair it again.

Staff see a connection warning while the customer is signing

A temporary real-time connection issue does not always stop the customer from signing after the contract has loaded on the display. The customer can continue if the signing screen is still available. If the final submission fails, the customer should retry from the signing screen.

The customer signed, but the contract still appears unsigned

Check that:

  • The customer completed the final submission step

  • There was no signing error on the customer screen

  • Staff refreshed or reopened the contract

  • There is no temporary backend or notification delay

If the contract remains unsigned, try the signing flow again or contact support with the contract ID, station name, and time of the attempted signing.

Security notes

  • Do not share public signature links with anyone except the intended signer.

  • Do not copy pairing codes into logs or support tickets.

  • Do not store station credentials manually.

  • Unpair or delete a Signature Station if the physical display is lost, replaced, or no longer trusted.

  • The Signature Station Display is not a staff workstation and should not be used for admin tasks.
