Dropkey — User Guide

A guide for administrators and end-users on how to set up and use Dropkey.

What is Dropkey?

Dropkey is a self-service key drop solution for Key30 cabinets. End-users (e.g. car repair or rental customers) can drop keys 24/7 by scanning a QR code and filling a short form — no staff needed at drop-off.

Typical use: Car repair shops, rental returns, any scenario where keys are left in a locker without a manager present.


1. Getting Started — Activating Dropkey for Your Organization

Before you can use Dropkey, the feature must be activated for your organization by Livion.

How to request activation:
Contact Livion support or your account manager and ask them to enable Dropkey for your organization. Once activated, your organization's administrators can manage Dropkey on individual devices.

If you see "Feature Unavailable" in the Dropkey admin, it means Dropkey has not yet been activated for your organization. Please reach out to Livion to request it.


2. Managing Dropkey (Administrator)

Once Dropkey is activated for your organization, administrators can enable it on individual Key30 devices.

Accessing the Dropkey Admin

  • From LivionKey Next Gen App ( Register or Dashboard): use the Dropkey entry in the menu or on the landing page.

  • Or open the Dropkey admin directly and log in, then select your organization.

Note: You need an administrator role for your organization to access Dropkey management.

Devices Page

The Devices page lists all Key30 devices in your organization (with search). For each device, you can:

  • Enable Dropkey — generates a unique QR code for that device.

  • Disable Dropkey — the QR code will no longer work.

  • Show / Download QR code — for printing and placing near the Key30 cabinet or entrance.

  • Configure notifications — optionally enable Email and/or SMS confirmation to end-users after a successful key drop (both are off by default).

After Enabling a Device

  1. Download and print the QR code from the Devices page.

  2. Place the QR code near the Key30 cabinet or entrance so end-users can easily scan it.

  3. Optional: Enable Email and/or SMS notifications in the Notifications column so end-users receive a confirmation after dropping their key.


3. End-User Flow (Dropping a Key)

This is what your customers experience when dropping a key:

  1. Scan the QR code at the Key30 cabinet with their phone (no app needed — opens in the browser).

  2. Fill in the form: License plate, name, email, phone number, and optional notes.

  3. Submit — the screen shows "Processing your reservation…" then instructions to press # on the key cabinet keypad.

  4. Press # on the Key30 cabinet keypad — a locker door opens.

  5. Place the key in the locker and close the door by pressing the # key again.

  6. Confirm by tapping "Key is in Locker" on screen (or wait for the timer).

  7. A confirmation screen is shown. If notifications are enabled, the user also receives an Email and/or SMS.

Important: The reservation is valid for 10 minutes from submission. If the key is not placed in the locker within that time, the reservation expires and the user will need to start again. The Key30 device must be online and have at least one free locker for the process to work.

5. Troubleshooting

  • "Feature Unavailable" in Dropkey admin
    → Dropkey has not been activated for your organization yet. Contact Livion support or your account manager to request activation.

  • Can't see Dropkey in the menu
    → Confirm that Dropkey has been activated for your organization and that you have an administrator role.

  • End-user sees "Device Not Reachable"
    → The Key30 device is offline. Check the device's network connectivity.

  • End-user gets an error after submitting the form
    → All lockers may be occupied. Free up a locker or ask the end-user to try again later.

  • The QR code is not working
    → Verify that Dropkey is still enabled for that device in the Dropkey admin.
