This article describes how the users are managed in the LivionKey Dashboard

Important: User management requires the Admin role

User Management

You can access the user management by clicking 'Users' -tab from the 'Key Automats' -view.

The main 'User Management' view shows the current users who have access to your organization.

Adding new user

You can add a new user by clicking 'Add user' from the main view of 'User management'. Enter the details of the new user to the form.

  • Username: User's valid email address. Once the user is added, the system sends an email with activation instructions to this address.

  • Password: Temporary password for the user, will be changed once the user activates the account

  • Mobile phone number: user's phone number e.g. for receiving notifications

  • Language: The language of the user. This applies e.g. to the language of the activation email and webpage.

  • Role: User's access rights to the system are defined with roles.

User (Edit and View)

  • doesn't have access to 'User management' and the main level 'Usage report'

User (View Only)

  • cannot install devices

  • doesn't have access to the main level 'Alarms', 'User management', and the main level 'Usage report'

  • doesn't have access to device's 'Settings', 'Tools', 'Alarms', 'Logs' or 'Usage report'

  • cannot manage keys or contracts, open locker remotely, take locker photo, or reboot device remotely

Customer service (Edit and View)

  • doesn't have access to 'User management' and the main level 'Usage report'

  • cannot adjust privacy settings

  • cannot take front camera photo from 'Tools' or see front camera photos/videos in timelines

Customer service (View Only)

  • doesn't have access to 'User management' and the main level 'Usage report'

  • cannot change any device settings, access only to 'Preferences' -tab in 'Settings'

  • cannot create/modify/remove contracts

  • doesn't have access to 'Tools'

  • doesn't see front camera photos/videos in timelines

  • Automat access: Organization units whose devices the user has access to.

  • Email notifications: When selected, the user will receive notifications from the system (e.g., info on software updates, etc).

Important:

When a new user is created, the system sends automatically an email with activation link to user. The user must activate the user account within 6 hours. If user fails to do so, the invitation link will expire. To send a new activation email to user, you have to remove and re-create the user to system.

Editing or removing an existing user

You can edit or remove an existing user by clicking the desired user in the main 'User management' view.
