LivionKey Register: How to mark a key as lost

Track lost physical and iLOQ S5 keys, remove them from active contracts, and restore them when found.

What this feature does

The Mark as lost feature gives you a dedicated way to record that a key has been lost.

  • It works for both physical keys and iLOQ S5 keys

  • It adds a clear Lost status to the key

  • It removes the key from active contracts

  • It keeps lost keys out of the default key list until you filter for them

Marking a key as lost is separate from deactivating a physical key or blocklisting an iLOQ S5 key. You can choose those follow-up actions when needed, but they are not applied automatically by default.


Before you start

You need permission to edit keys in LivionKey.

You can mark a key as lost only when:

  • The key is currently not available

  • The key is not already lost

  • The key is not already inactive


How to mark a key as lost

You can start the action from either the key list or the key details view.

  1. Open the key list or the key details page.

  2. Find the key and open the action menu.

  3. Select Mark as lost.

  4. Review the confirmation dialog.

  5. If shown, choose the optional follow-up action:

    • For iLOQ S5 keys: Also add this key to blocklist

    • For physical keys: Also deactivate this key

  6. Confirm the action.

After confirmation:

  • The key is marked with Lost status

  • The key is removed from active contracts

  • The key disappears from the default list view

  • The key becomes visible again when you use the Lost status filter

If the optional follow-up action fails, the key still remains marked as lost. You can retry the follow-up action separately afterward.


What happens to contracts

If the key is part of an ongoing contract, LivionKey removes it from that active contract and stores the removal in contract history with the reason Lost.

For physical keys, LivionKey also warns you if the key has an upcoming contract because marking it as lost can affect future handovers.


How to find lost keys later

Lost keys are hidden from the default key list on purpose.

To see them:

  1. Open the key list.

  2. Open the Status filter.

  3. Select Lost.

If a key is both lost and inactive, it can also appear when using the Inactive filter.


How to mark a lost key as found

Use Mark as found when the missing key has been recovered.

You can mark a key as found only when:

  • The key currently has Lost status

  • The key is not inactive

To mark it as found:

  1. Open the lost key.

  2. Select Mark as found from the action menu.

  3. Choose where the key is stored now.

  4. Confirm the action.

Storage rules:

  • Physical keys can be assigned to manual storage or a LivionKey automat

  • iLOQ S5 keys can be assigned only to a LivionKey automat

After confirmation, the Lost status is removed and the key is stored in the location you selected.


Bulk actions

You can select multiple keys in the key list and mark them as lost in one step.

  • Bulk lost is available separately in the physical key list and the iLOQ S5 key list

  • LivionKey processes each selected key individually

  • If some keys cannot be updated, the system still updates the eligible ones and shows a result summary

  • Optional blocklist or deactivate follow-up is available only for eligible keys

Bulk mark as found is not offered in the UI because the found flow requires choosing a storage location for each key.


FAQ

Why can’t I see “Mark as lost” for a key?

The action is shown only when the key is not available, not already lost, and not inactive.

Does “Mark as lost” deactivate the key automatically?

No. Deactivation for physical keys and blocklisting for iLOQ S5 keys are optional follow-up actions.

Why did the key disappear from the list after I marked it as lost?

Lost keys are hidden from the default list view. Use the Lost status filter to see them.

Why can’t I mark a lost key as found?

If the key is inactive, the found action is not available. This includes iLOQ S5 keys that have already been blocklisted.
