Use Multiple Contacts in Key Handover and Return Contracts

Add, manage, and update multiple contacts on the same contract in Livion Key register

Overview

You can add multiple contacts to contract flows in Livion, including key handover and key return.

This helps when more than one person should be connected to the same contract, for example:

  • a contractor and their supervisor

  • a tenant and a co-tenant

  • an employee and an administrative contact

Where It Works

Multiple contacts can be used in contract-related workflows, such as:

  • key handover

  • key return

  • editing an existing contract

How It Works

Each contract can contain multiple contracts, but only one is treated as the primary contract.

  • The first contact is the default primary contact.

  • Additional contacts are stored on the same contract as secondary contacts.

  • All contacts stay visible in the contract details.

Add Multiple Contacts During Handover or Return

  1. Open the contract form.

  2. Add the key or keys as usual.

  3. Fill in the first contact.

  4. Click + Add Contact.

  5. Fill in the additional contact.

  6. Save or complete the contract.

You can repeat this until all needed contacts have been added.

Update Contacts on an Existing Contract

  1. Open the contract for editing.

  2. Go to the contact section.

  3. Add, remove, or edit contacts as needed.

  4. Save the contract.

This is useful if another person needs to be linked to the contract after the original handover.

Primary Contact vs Additional Contacts

  • The first contact is the primary contact on the contract.

  • Additional contacts are stored as extra contacts on the same contract.

  • Only the primary contact will receive notifications.

What Users Can See

When a contract contains multiple contacts:

  • All contacts are visible in the contract details

  • Contract searches can match any stored contact information

  • The contract keeps all linked people together in one record

Important Notes

  • Each additional contact must have at least a name.

  • Multiple contacts improve contract visibility and searchability.

  • Imported contracts can also include multiple contacts, but import behavior is explained in a separate article.
