Overview
Contract Instructions helps organizations standardize handover/return procedures by providing rich-text instructions to managers throughout contract flows.
Admins configure instructions on an organization unit (e.g., organization, area, building).
Managers see an Instructions button during handover/return/receive, and can open a sidebar to read them.
Instructions are informational only: contract flows remain non-blocking.
Instructions are inherited: instructions from the selected unit(s) and their parent units may be shown together.
Getting Started
Prerequisites
To configure instructions, the user must have permission to edit the organization unit (admin rights for the unit).
To view instructions, the user needs access to the contract flows and permission to view the relevant organization units.
Setup Steps (Admin)
Open Organization Management.
Select the organization unit you want to configure (for example, a Building).
Open the Contract tab.
Find the Contract instructions section.
Click Add instruction and choose:
Pickup instructions (shown during handover), or
Return instructions (shown during return and receive).
Write the instruction content in the rich text editor and save.
Repeat as needed.

Feature 1: Configure pickup and return instructions (Admin)
Admins can create, edit, and delete instructions for an organization unit.
How to use:
In the Contract instructions section, click Add instruction.
Choose Pickup or Return.
Enter instruction content and save.
Use edit/delete actions on an instruction to update or remove it.
Inherited instructions:
Instructions configured on parent units are shown as read-only under an “Inherited instructions” area.
Feature 2: View instructions during contract flows (Manager)
During contract flows, managers can open a sidebar to view the relevant instructions.
Where you’ll see it:
Handover flow: shows Pickup instructions.
Return flow: shows Return instructions.
Receive flow: shows Return instructions.
How to use:
When the Instructions button appears in the header, click it.
A sidebar opens (drawer on the right on desktop; bottom sheet on mobile).
Instructions are grouped by the organization unit they come from.
Close the sidebar at any time and continue normally.
Rich Text Formatting
Instruction content supports common formatting such as:
Bold/italic/underline
Lists (bullets and numbering)
Headings
Links
For safety, the content is sanitized before rendering.
Best Practices
Keep instructions short and actionable: use bullet points for checklists.
Place general rules high in the hierarchy (e.g., at the organization level) and local details at the building level.
Review instructions regularly, especially after process changes.
Avoid sensitive personal data in instructions (IDs, phone numbers, etc.).
FAQ
Q: Why don’t I see the Instructions button?
A: The button appears only when there are applicable instructions for the current operation (pickup vs return). If none are configured (or you don’t have access to view them), the button won’t show.
Q: Which instructions are shown for a contract with keys from multiple buildings?
A: Instructions can be shown from all relevant units (each building involved) and their parent units.
Q: Do I have to acknowledge or confirm instructions?
A: No. Instructions are informational and do not block submissions.
Q: Can I reorder instructions manually?
A: Not currently. Instructions are displayed in a consistent order (typically by priority when available).
