Understanding Key contract signature and Agreements
By utilizing agreements and contract signatures in LivionKey Register, you can ensure transparency, accountability, and legal compliance in your key management processes.
Organization Unit Specific: Agreements are defined at the organization unit level, allowing for customization based on specific areas or departments.
Inheritance: Agreements can be enforced for all child organization units, ensuring consistency across your hierarchy.
Language Specific: Agreements are tailored to specific languages, catering to diverse user groups.
Defining Agreements
Access Organization Unit: Navigate to the desired organization unit and select the "General" tab
Add Agreements:
Click the "Update" button.
Provide the agreement text in the relevant language.
You can add multiple agreements per language
Enforce Agreements:
Decide if you want to make the agreements mandatory for key contracts within this organization unit and its children.
Enabling Agreement Signing During Key Handover
Follow the standard process to initiate a key handover with the desired keys and language
Note: The keys added to the contract and the selected language will determine which agreements are applicable. Each key belongs to a building (an organization unit), and the system will identify the relevant agreements based on the keys' organizational units.
Enable the contract user verification and the mandatory agreements will be pre-selected. You can optionally enforce additional agreements at the contract level
Pressing "Handover key" will create a Key contract with the status "Waiting for Verification".
Note : When handing over keys using Key automats, the signature process is slightly different. Pressing "Handover key" will generate a Key contract and will directly send a notification to the Key contract recipient with a signature link.
You can either obtain the signature directly on your computer or tablet by pressing "Add signature" or send the signature link via SMS to the customer by pressing "Send signature link"
Note: A phone number is mandatory in order to send the signature link via SMS.
Your customer must read and approve all enforced agreements.
And then provide their signature
Click "Save" to complete the signature process. A receipt for the key handover, including all the agreed-upon terms, will be sent to the customer.
Note!
The signature can be provided with tablet or with computer and mouse. You can also use a signing pad for signature. In that case, please ensure the signing pad is compatible with your computer.
