Key Return Reminder Functionality

Key return reminders in LivionKey Register provide a proactive approach to ensuring timely key returns and improving overall key management. By utilizing these features, you can reduce the risk of lost or misplaced keys and maintain a more efficient and accountable system.

Here's how it works:

  1. Enable Key Not Returned Notification:

    • At the organization unit level, you can enable a "Key Not Returned" notification.

    • This notification will automatically alert the designated contract contact person if a key is overdue.

    • Reminder Intervals:

      • You can configure the system to resend reminder notifications at specified intervals if the key remains unreturned.

  2. Enable Notifications During Contract Creation:

    • When creating a new key contract, you have the option to enable notifications for the end-user.

    • These notifications can be sent via SMS and/or email.

Notification Settings Inheritance

Similar to other settings in LivionKey Register, notification settings are inherited from higher levels in the organizational hierarchy. This allows you to define default notification behaviors at the organization or country level and then customize them for specific units if needed.

Customizing the "Key Not Returned" Notification

You can personalize the content of the "Key Not Returned" notification to align with your organization's communication style and preferences. To edit the template:

  1. Navigate to the "Organization" view within LivionKey Register.

  2. Select the "Emails and SMS template" tab, and access the template editor for Email or SMS depending on your preferred notification method

  3. Choose the "Key Not Returned" template from the list of available common templates.

  4. Modify the content and formatting as desired. You can also utilize predefined variables to include dynamic information in the notification.

  5. Click "Save" to apply your changes
