LivionKey Register: Create and manage Buildings

This article explains how to create, import, manage, and organize buildings within LivionKey Register for efficient key and access control.

1. Buildings in LivionKey Register

In LivionKey Register, buildings represent physical structures in the real world. They are organized within a parent-child hierarchy, forming an organizational tree. Keys can be assigned to specific buildings, allowing for granular access control.

Each building in LivionKey Register has the following properties:

  • Organization Unit: (Required) The building parent organization unit

  • Address: (Required) The building street name and street number

  • Postal Code: (Required) The building's postal code

  • Post Office: (Required) The building's post office

  • Building Customer ID: (Optional) An identifier used to import keys from third-party systems

  • Building Name: (Optional) A logical name for the building

2. Building management

Click "Buildings" in the left menu ("Management" -section) to access the building management view

2.1 Search Buildings

  • Free search:

    Search using keywords that match the building name, address, postal code, post office, or building customer ID. Enter the keyword to "Search" -field in top of the page.

  • Filter by organization unit:

    You can filter the buildings by selecting the desired organization unit from the "Filter by organization unit" -section.

2.2 Create a new Building

  1. Click the "+ CREATE" -button in the top right corner of the "Buildings" -view.

  2. Provide the following information:

    • Parent organization unit (required)

    • Address (required)

    • Postal Code (required)

    • Post Office (required)

    • Building Name (optional)

    • Building Customer ID (optional, must be unique within the Organization)

  3. Press the “+ CREATE” -button to create the building.

Note!

  • If you have many buildings which you need to create to system, it's possible to import those by using .csv -file. More information on the building import can be found from the chapter 3 of this article.

2.3 Update the Building

  1. Right-click the building which you want to modify and select "Update"

  2. Modify the necessary fields (Address, Postal Code, Post Office, Building Name, Building Customer ID)

  3. Press "Save" to update the building

2.4 Move Building to different organization unit

  1. Double-click the building which you would like to move to different organization unit. The details of the building will open to the right-side of the page.

  2. Open the menu by clicking "More actions" -icon (3 dots) from the top-right and select "Move building". Select "Move building" -option from the menu.

  3. Select the destination Organization unit and press "MOVE" -button.

Note!

  • Moving a building may take a few minutes, please be patient!

2.5 Delete the Building

  1. Right-click the building which you want to delete and select "Delete"

  2. Confirm the deletion in the dialog box

Important!

  • When the building is deleted, it's not possible to restore it anymore!

  • Deleting a building will remove also all associated data from the system permanently (keys, contracts, alarms data, attachments and comments)!

3. Import Buildings

Follow these steps to import multiple buildings into LivionKey Register using a CSV file.

1. Download the import buildings template

  • Navigate to the "Buildings" -view

  • From the "Actions" dropdown menu (3 dots in top-right of the page), select "Import Buildings"

  • Click "Download template" to get the CSV file. Save the file to your computer.

2. Fill in the Template with your buildings data

  • Open the CSV-file on your computer and fill in the building information. Do not modify the column headers!

  • Required fields:

    • Organization Unit ID or Customer ID (must match an existing unit)

    • Address

    • Postal Code

    • Post Office

    • Building Customer ID (must be unique within the Organization)

  • Optional field: Building Name

Tip!

To find the organization unit ID or Customer's Own ID:

  1. Click "Organization" from the left menu.

  2. Select the desired organization unit.

  3. In the General tab, organization unit ID and Customer's Own ID are shown in the "Info" -section.

  • Save the file in CSV format, using a comma (,) or semicolon (;) as the separator.

Important!

  • Pay attention that you save the file in correct format. The format/encoding of the file should be 65001: Unicode (UTF-8)!

3. Import the file

  • Click "UPLOAD FILE" -button and select the modified CSV-file from your computer's folder. After that press "VALIDATE".

  • Confirm the imported buildings by clicking "IMPORT".

  • Once the buildings are imported, the system shows summary of the import.

Validation guidelines:

  • Column headers must match the template

  • Each CSV file can contain a maximum of 200 buildings

  • All rows must have data, even at the beginning and end

  • Building Customer IDs (if used) must be unique within the Organization
